1. Who We Are

This website is operated by Alexandros Giakalis, trading as Giakalis Tutoring, a private tutoring service based in Athens, Greece. Alexandros is the data controller responsible for your personal data.

If you have any questions about how your data is handled, you can reach us at:

2. What Personal Data We Collect

We collect personal data in the following ways:

  • Contact and booking forms: When you submit a form on our website, we collect your name, email address, subject/program of interest, and any message you include. Phone number is optional.
  • Direct communications: When you contact us via email, WhatsApp, or phone, we receive and store the content of those communications along with your contact details.
  • Lesson scheduling: If you become a student, we keep records of lesson dates, times, subjects covered, and any relevant academic notes to deliver our service effectively.
  • Technical data: Our hosting provider (Cloudflare) automatically collects limited technical information such as IP addresses, browser type, and access timestamps for security and performance purposes. We do not use this data to identify individual visitors.

3. Why We Use Your Data

We process your personal data based on the following legal grounds under the GDPR:

  • Contractual necessity: To respond to your inquiries, arrange trial lessons, schedule and deliver tutoring sessions, and manage the ongoing tutor-student relationship.
  • Legitimate interest: To improve our website performance and user experience, to maintain basic business records, and to ensure the security of our website.
  • Consent: Where you have specifically opted in, for example by submitting a contact form. You may withdraw consent at any time.
  • Legal obligation: To comply with applicable Greek and EU laws, including tax record-keeping obligations.

4. Who We Share Your Data With

We do not sell, rent, or trade your personal data to anyone. We may share your data only with the following service providers who help us operate:

These providers process data on our behalf or as part of their own services. We encourage you to review their privacy policies.

5. International Data Transfers

Some of our service providers (such as Cloudflare and Basin) may process data on servers located outside the European Economic Area (EEA). Where this occurs, we rely on appropriate safeguards recognized by the European Commission, including Standard Contractual Clauses (SCCs) and adequacy decisions, to ensure your data remains protected.

6. How Long We Keep Your Data

  • Contact form inquiries: We keep your inquiry for up to 12 months after our last communication, unless a tutoring relationship begins.
  • Active students: We retain lesson records and contact details for the duration of the tutoring relationship and for up to 24 months afterward.
  • Financial/tax records: Kept for the period required by Greek tax law (currently up to 5 years).
  • Technical logs: Cloudflare retains server logs for a limited period in accordance with their own data retention policies, typically no more than 30 days.

After these periods, your data is securely deleted or anonymized.

7. Your Rights Under GDPR

As a data subject in the EU, you have the right to:

  • Access the personal data we hold about you
  • Rectify any inaccurate or incomplete data
  • Erase your data ("right to be forgotten") where there is no compelling reason for continued processing
  • Restrict processing of your data in certain circumstances
  • Object to processing based on legitimate interests
  • Data portability — receive your data in a structured, commonly used format
  • Withdraw consent at any time, without affecting the lawfulness of prior processing

To exercise any of these rights, contact us at giakalis.alexander1989@gmail.com. We will respond within 30 days.

If you believe your data protection rights have been violated, you have the right to lodge a complaint with the Hellenic Data Protection Authority (HDPA) at www.dpa.gr.

8. Children and Minors

Many of our students are under 18 years of age. We do not knowingly collect personal data from minors without the involvement of a parent or guardian. If a student under 18 contacts us, we expect a parent or guardian to be part of the communication and decision-making process. Parents or guardians may exercise data rights on behalf of their child at any time.

9. Security

We take reasonable and industry-standard measures to protect your personal data from unauthorized access, loss, or misuse. Our website is served over HTTPS, and our hosting provider (Cloudflare) offers additional security protections including DDoS mitigation and web application firewall. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

10. Cookies

Our website uses only essential cookies that are strictly necessary for the site to function, such as:

  • Cloudflare security cookies (e.g., __cflb, __cf_bm) to protect against malicious traffic

We do not use analytics cookies, advertising cookies, or social media tracking pixels.

You can control or delete cookies through your browser settings. Because we only use essential cookies, disabling them may affect the basic functionality of the website. For guidance on managing cookies, visit aboutcookies.org.

11. Third-Party Links

Our website may contain links to external websites (such as Google Maps, WhatsApp, or social media profiles). We are not responsible for the privacy practices or content of those sites. We encourage you to read their privacy policies before providing any personal information.

12. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. When we make changes, we will update the "Last updated" date at the top of this page. For significant changes, we will make reasonable efforts to notify users, such as posting a notice on our homepage.
